Miyama’s Thatched Village Snow Lantern Festival Executive Committee (hereinafter referred to as “the Committee”) has established this Privacy Policy (hereinafter referred to as “this Policy”) concerning the handling of personal information by the Committee as follows.

  1. Definition of “Personal Information”

    For the purposes of this Policy, personal information refers to information defined as such under the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the “Personal Information Protection Act”). It includes information related to a living individual that can identify the person by name, date of birth, or other descriptive elements, or information containing individual identification codes.

  2. Purpose of Use of Personal Information

    The Committee will acquire and use personal information of customers for the following purposes:

    1. To organize and conduct Miyama’s Thatched Village Snow Lantern Festival (hereinafter referred to as “the Event”) and related services (such as parking reservations and experiential tours; collectively referred to as “the Services”).
    2. To improve and enhance the content of the Services.
    3. To provide updates, campaign information, and other notifications about the Services via email, flyers, and other direct mail.
    4. To contact customers for maintenance, important updates, or other necessary communications.
    5. To respond to opinions, inquiries, or other feedback regarding the Services (including identity verification).
    6. To report to customers on the usage status of the Services.
    7. To request cooperation in surveys, interviews, or participation in various events related to the Services and provide feedback on the results.
    8. To analyze the usage history of the Services for improvements, development, or advertising purposes.
    9. To provide personal information to event participants or organizations based on the customer’s consent or application.
    10. To identify and restrict users attempting to use the Services for unlawful or improper purposes.
  3. Provision of Personal Information to Third Parties

    The Committee will not provide personal information to third parties without the customer’s consent, except in the following cases:

    1. When necessary to protect human life, health, or property, and obtaining customer consent is difficult.
    2. When particularly necessary for public health improvement or the sound upbringing of children, and obtaining customer consent is difficult.
    3. When cooperation with a national agency, local government, or its designee is required for the performance of duties prescribed by law, and obtaining customer consent could interfere with such performance.
    4. When otherwise permitted by law.
  4. Outsourcing of Personal Information Handling

    The Committee may outsource all or part of personal information handling within the scope necessary to achieve the intended purpose of use. In such cases, the Committee will thoroughly evaluate the suitability of the outsourcing party, ensure confidentiality obligations are stipulated in contracts, and exercise appropriate supervision over the outsourcing party.

  5. Joint Use of Personal Information

    The Committee may jointly use personal information within the following scope and for the following purposes:

    Purpose of Joint Use:

    1. To develop an integrated tourism DMP (Destination Marketing Platform) for Nantan City Area, Kyoto Prefecture.
    2. To support marketing activities for the tourism industry (including accommodation facilities) in the Nantan City area.

    Scope of Information for Joint Use:

    Name, address, gender, date of birth, phone number, email address, purpose of travel, accommodation fees, plan name, and other personal information provided to the Committee.

    Scope of Parties for Joint Use:

    • Constituent organizations and business entities of the Committee
    • Accommodation operators in the Nantan City area
    • Partner companies involved in Kyoto Miyama Tourism Association‘s data management operations

  6. Requests for Disclosure, Correction, or Suspension of Use

    Customers may request disclosure, correction, or suspension of use of personal information held by the Committee. Upon receiving such requests, the Committee will investigate as necessary and take appropriate action if the request is deemed reasonable. However, if permitted by law, the Committee may decline the requests, or propose alternative measures. To make such a request, customers must submit identification documents (e.g., a driver’s license) specified by the Committee. No fees will be charged for such requests.

  8. Compliance with Laws and Regulations

    The Committee complies with laws, regulations, and other standards related to the handling of personal information.

  9. Security Measures for Personal Information

    The Committee implements organizational, physical, human, and technical security measures to prevent leakage, alteration, or loss of personal information, including access restrictions, access log monitoring, and measures against unauthorized external access. In the event of a personal information breach, the Committee will promptly report the incident to supervisory authorities in accordance with the Personal Information Protection Act and related guidelines and take necessary actions to prevent recurrence.

  10. Continuous Improvement and Policy Updates

    The Committee is committed to the continuous improvement of its handling of personal information. This Policy may be revised unless otherwise provided by law. The revised Policy will take effect upon publication on the Committee’s designated website.
